VOLUNTEER RELATIONS COORDINATOR

All Hands and Hearts is a disaster relief nonprofit. Our program bases are located in the communities we serve, and staff members live in communal environments. Vaccination is required in all in-person work environments including program bases, offices, and team meetings. We will always provide an option for travel-exempt folks to join these meetings and events virtually, to ensure we are providing an inclusive and accessible environment for people who are unvaccinated, vaccinated and at high risk, or avoiding in person events out of concern for others in their circle.

Must be legally authorized to work in the US. The start date for this position is mid-late February.

Position Purpose

A versatile position within a dynamic nonprofit that provides community-inspired, volunteer-powered disaster relief. The position is full-time and is responsible for coordinating and supporting volunteers while on program, facilitating a positive volunteer experience, and assisting the Program Director with operational needs.

Reporting Relationships

• Reports to  Volunteer Coordination Manager & Program Director (dotted line manager), with support from Volunteer Engagement Manager

Essential Functions

• Coordinate the arrival and departure schedule of individual volunteers and groups, conduct pre-arrival phone calls, answer volunteer inquiries, and communicate expected volunteer numbers to the field team

• Transport new and departing volunteers to the airport twice weekly

• Welcome new volunteers ensuring they are settled, and have completed all required paperwork and facilitate orientation sessions introducing the organization and program expectations

• Implement the volunteer engagement strategy in a positive and authentic way, organizing fundraising events and activities to motivate, empower, and inspire volunteers to meet the monthly fundraising targets

• Update tracking systems daily, including updating volunteer arrivals, departures, breaks in Salesforce, donation tracking, and personal fundraising pages, and program budget tracking

• Assist the Program Director with expense tracking, including petty cash distribution, management and reconciliation, cash-flow projections for the whole program

• Work with the Program Director with to manage operational needs such as procurement of food, medical and base supplies when necessary

• Collect feedback surveys from volunteers as they depart, and work with Volunteer Coordination Manager and Program Director to review feedback with the program team

• We understand vaccination is the best way to protect our beneficiaries, community members, staff and volunteers, therefore we require all of our on program staff members to be fully vaccinated against COVID-19. To be considered for this position you must be fully vaccinated.  Subject to applicable guidance, the term fully vaccinated currently refers to when an individual has received either a single-shot vaccine or both doses of a two-shot vaccine, and two weeks have elapsed since the final dose.

Financial Responsibilities

• Is this position responsible for the operating budget of the associated department? No
• Does this position have any other financial responsibilities? Yes; Responsible for meeting monthly fundraising targets, and supporting the Program Director with budget tracking

Position Requirements

• Education  High school diploma or equivalent
• Related Experience  Previous experience with All Hands and Hearts, or another volunteer or  disaster relief organization. Volunteer experience, travel experience and experience with fundraising and/or budget tracking preferred.
• Special Competencies/Certifications Must be legally authorized to work in the US. Requires a current/valid driver’s license. Must have good written and oral communication skills. Needs to be well organized and able to prioritize and manage multiple concurrent tasks. Needs strong leadership skills with a proactive approach to identifying and solving problems. Able to manage a large workload and able to perform in a fast paced dynamic environment.
• Work Environment/Conditions  Based on program in a communal living environment, with high stress situations. Work schedules will alternate with co-workers at times.

Compensation & Benefits

• Pay rate is $16.00-$16.50 USD/ hour, based on position, skills and experience
