Timekeeping System Senior Coordinator

Salary The salary range for this position is $46,000- $49,000 commensurate on experience

Program / Department Summary  
The Corporate Accounting, Payroll, Timekeeping, and Travel Departments perform vital functions for Mercy Corps globally. These groups interact with all other departmental functions and separate entities of the Agency, providing meaningful financial information to employees, management, donors, and regulators; processing global pay and vendor payments; and enabling team member travel. Corporate Accounting includes all consolidated accounting, headquarters accounts payable, annual global external audits and global consolidated financial reporting. The Corporate Accounting Department works closely with Treasury and with the International Finance Department in consolidating field information to provide monthly consolidation of over 40 countries. Payroll and Timekeeping are responsible for processing and allocating pay for all US based and Expat team members. Global Travel is responsible for the management and strategic development of Mercy Corps travel program. 
 
General Position Summary  
This position is responsible for completing a range of duties including system and business administrative functions in the online timekeeping system and provides support to the other members of the finance team in a timely and accurate manner with a spirit of teamwork and service. 
 
Essential Job Responsibilities

  • Review, check accuracy, and process timesheets for all US based and Expatriate staff using the time keeping system.
  • Manage Help Desk tickets and provide support and follow-up in a timely manner.
  • Assist team members with timekeeping system troubleshooting and managing access to the timekeeping system.
  • Audit system for timekeeping compliance, monitoring for new hires, supervisor assignments, employee changes, and department and fund setup and maintenance.
  • Recommend process improvements by identifying issues resulting from evolving system dependencies and an expanding user base.
  • Follow up with team members and supervisors for missing timesheets, information (department, missing days, etc.) and supervisor approvals.
  • Support the Payroll Specialists with audit requests for information or documentation related to timekeeping.
  • Support monthly/quarterly audits of employee time off accruals.
  • Manage system data entry and audit and verify data against HRIS and Finance systems.
  • Maintain strong processes and controls around and within the timekeeping system.
  • Assist in expansion and rollout of the timekeeping system to global team members.
  • Draft or assist in drafting communications to timekeeping system users.
  • Assist in developing and running timekeeping reports.

Reports Directly To: Timekeeping Manager 
Works Directly With: Payroll Officers, Corporate Accounting, International Finance, Human Resources, Timekeeping System Users

Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work. Minimum Qualifications & Transferable Skills

  • 3+ years experience of basic knowledge of payroll and timekeeping-related state and federal regulations
  • Ability to independently research timekeeping system customer questions
  • Demonstrated history of providing excellent customer service, meticulous attention to detail, and ability to follow procedures, complete tasks, meet deadlines and work well under pressure and cooperatively with team members is required
  • Excellent communication skills, both written and oral
  • Intermediate skills in the Microsoft Product Suite, as well as the ability to navigate the internet and intranet are required.
  • Highly organized and able to maintain and prioritize multiple tasks/projects
  • Demonstrated experience maintaining confidential information
  • Proficiency in Spanish, French, or Arabic is preferred

Success Factors  
The successful Timekeeping Senior Coordinator will have the ability to work independently and at the same time work fluidly with the Payroll and Finance teams. They must be able to employ effective time management skills, handle frequent interruptions and shifting priorities, exhibit effective customer service skills, and work effectively with a wide variety of individuals including international staff. The successful Timekeeping Coordinator will thrive in a fast-paced environment prone to rapid change. The most successful Mercy Corps team members have a positive approach, a strong commitment to teamwork and personal accountability, the ability to be flexible and make effective communication a priority in all situations. 
 
Living Conditions / Environmental Conditions  
This position is based in Portland, Oregon, Washington DC, or remotely within the United States.  This position does not require travel. 
Mercy Corps team members represent the agency both during and outside work hours when deployed in a field posting or on a visit/TDY to a field posting. Team members are expected to conduct themselves in a professional manner and respect local laws, customs and MC's policies, procedures, and values at all times and in all in-country venues.
