SharePoint Specialist

About the role

The SharePoint Specialist is responsible for implementation of Intranet and document storage solutions for the IT Services Delivery (ITS) team, using Microsoft 365 Modern SharePoint, Teams and OneDrive, ensuring Infoxchange‘s offering is viewed by our customers as best practice, and that it is enabling their staff and volunteers to work effectively and by offering excellent value for money.

The ITS team provides services for Non-for-Profit customers including:

  • Technical advisory and architecture services
  • Design and implementation of ICT infrastructure including solutions based in the cloud, local infrastructure and hybrid environments
  • Microsoft 365 migrations
  • Managed desktop and infrastructure services. Our customers are supported through managed support contracts, projects and ad-hoc paid support activities (‘Minor Works’).

This role reports to the ITS Program Delivery Manager, and works closely with members of the team.

The key objective of this role is to provide delivery and support of SharePoint services (Microsoft 365 SharePoint, Teams, OneDrive and related  ) from the ITS team to Infoxchange customers. Infoxchange is one of our customers.

Key duties and responsibilities

High quality, customer focused project services (70%)

  • Design, build and migrate IX customers to SharePoint and provide clarity and confidence to use it for document management in a way that is supportable by IX’s Helpdesk
  • Undertake activities such as requirements gathering workshops, analysis and design, implementations and configuration (build) and end-user training
  • Working with customers to co-ordinate the project and manage stakeholder expectations
  • Delivery of technology solutions, including:
    • Implement intranets using modern SharePoint tools and document stores using SharePoint and MS Teams, as appropriate to the scale and complexity of the client
    • Conduct file analysis and plan file migrations
    • Implement document storage and role-based access
    • Provide support for User Acceptance Testing
  • Provide documentation of delivered solutions

Excellent support services (30%)

  • Provide knowledgeable support services to ITS customers in a professional and positive manner
  • Act as an escalation point for SharePoint issues for the ITS Helpdesk
  • Maintain and update documentation so that the ITS team can provide high quality, efficient services

Key selection criteria

Knowledge, experience and skills

  • Knowledge and experience implementing and supporting SharePoint for document management and intranet solutions using Microsoft 365 SharePoint, Teams and OneDrive
  • Experience with file analysis, file migration and the SharePoint Migration Tool
  • Knowledge/experience implementing and supporting Active Directory and Azure Active Directory security groups to support role-based access to document libraries
  • Knowledge of document management principles
  • Experience in developing skills in related technologies including Power Apps and Power Automate is desirable
  • Experience using work management tools like helpdesk ticketing systems in an IT Managed Service Provider environment
  • Experience in project management and coordination will be well regarded

Employment conditions

  • Located in Melbourne (preferred but flexible)
  • Hybrid flexible working arrangements available
  • Interstate travel and regional as required
  • Terms and conditions as per employment contract
