Project and Commercial Administrator

Are you looking for a new challenge? Do you have experience within administration or finance? We have a great opportunity to join us as a Project and Commercial Administrator

Location: Itad, Hove. Please note this is a hybrid role where we anticipate you would spend 2 days a week in our office working alongside the Finance team and Project Management Unit (PMU)

Contract: Fixed term 6 months. We are looking for the successful candidate to ideally start with us on Monday 20th March.

Hours: 37.5 hours per week, 9-5 Monday to Friday

Salary: From 24.5k depending on your skills and experience

Closing date: 13th March 2023. Please note we will be interviewing successful candidates on a rolling basis and as such may close the vacancy before the deadline.

The Role

In the Project and Commercial Administrator role you will provide primarily data-driven administration support to the PMU and Finance Units across Itad’s live portfolio. You will manage multiple communication lines and participate in processing large volumes of invoices. Your role will contribute to the efficient and effective delivery of projects to a wide range of clients both internal and external including:

  • Assisting with monthly Sales invoice processing
  • Assisting with monthly Purchase invoice processing
  • Collating backing documents to support invoices
  • Assisting with loading project budget information to internal systems
  • Maintaining accurate financial information relating to timesheet reporting
  • Assistance in processing of employee expenses and reconciling credit card expenditure
  • Managing multiple email inboxes and responding to requests for information
  • Assisting with document collation for the organisation’s Financial Audit
  • Use of multiple internal systems to process information
  • Provide across team administration support for a wide variety of tasks and activities.
  • Proactively raise areas of improvements within Itad’s invoicing and cost management systems and other processes relevant to the role.

The Candidate

You will be a project administrator or finance professional with experience of working on a range of live projects with a wide variety of clients in a fast-paced environment, preferably in the International Development or UK Government sector or similar.

You will bring proven administration experience along with experience of working in a commercially astute and effective way through your own active planning and prioritisation. You will have a track record of delivering commercial, administrative  and financial accuracy against fast-paced workplans and deadlines. You will be a team player who can demonstrate communication skills and experience to execute instructions from colleagues to ensure the delivery of key project and commercial activities across Itad’s portfolio.

  • Good communication skills - Communicating with all stakeholders in a courteous and professional manner
  • A team player - Be proactive to supporting the wider Finance team & PMU when needed
  • Experience of working with Microsoft Excel and other internal accounting systems - (exposure to Navision and/or Microsoft Dynamics 365 & Microsoft Project desirable, but not essential as full training will be provided)
  • Confidence in Maths skills
  • Someone who is keen and able to work independently and thrives in a multi task environment
