Operations Office Administrator
Job Summary:
Reporting to the Spoke Plant Manager, the Operations Associate will be responsible for the day-to-day office administration functions for the Spoke. The successful candidate will support the leadership team in varied capacities as needed to support the facilities.
Responsibilities
- Plan purchases and purchase orders, tracking, follow up
- Leads operational tasks under the direction of manager
- Assists supervisory team with training and vacation planning
- Assists with negotiating procurement with contractors and suppliers as required
- Create reports for business expense, financial records, and audits
- Conduct general and clerical office tasks
- Attend meetings, including preparation of agendas in advance of the meeting, minutes taking and distribution
- Work with teams to identify problems in operational processes and resolve them in quickly and timely manner
- Sample preparation and process coordination
- Maintain clear and accurate operations documents/procedures for reference purposes
- Open, distribute mail (electronically) such as invoices to AP, checks to AP, payroll documents to payroll, HR documents to HR, etc.
- Reconcile credit card statement(s) with expenses
- Arrange lunches & meetings, including ordering meals / beverages as required
- Welcome / Greet guests upon arrival to facilities
- Participate in onsite tours as required
- Other duties as required
Qualifications
- Post-secondary education in business related field preferred
- 1-5 years previous experience in a business environment required
- Previous experience with NetSuite would be an asset
- Experience with Microsoft Office applications
- Proficient in technology and general office equipment
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Ability to work efficiently with minimal supervision
- Valid driver's license required to travel to different site locations
Working Conditions:
- Manual dexterity required to use desktop computer and peripherals
- Lifting or moving up to 50 lbs may be required
- Work is performed in a combination of environments
- Ability to sit or stand for long periods of time
- This position may be exposed to elements such as noise, dust, odors, fumes, and oils
