Operations Coordinator

About the Opportunity

Ethos Urban is seeking an energetic and focused Operations Coordinator to join our team. This role will suit a dynamic and vibrant individual looking to support not only the operations and delivery teams, but the broader national Ethos Urban business. Located in the Sydney CBD, the ideal candidate will have experience working within a similar fast-paced professional services environment. The role will focus on positively supporting the efficient delivery of our business operations, improving efficiencies and continually looking for areas to improve on.

Key Responsibilities

The ideal candidate will be a self-starter and want to join an organisation that is growing across the eastern seaboard of Australia. Reporting to the Chief Operating Officer, this role will be responsible for:

Systems

  • Ensure timely and complete/ audited systems onboarding and offboarding (Synergy, Tiny+, Powerbi, SharePoint, programming).
  • Maintain and manage development and improvement of Ethos Urban project delivery templates (including management of external consultant inputs).
  • Maintain and manage national project delivery file sharing structure from an operational perspective (in conjunction with Head of IT).
  • Maintain and manage SharePoint content and updates from an operational perspective (in conjunction with Head of IT).

Delivery

  • Drive compliant and accurate project management practices (Tiny+ and Synergy) across the national service teams (sales and delivery) including WIP management, sub consultant procurement and management, time sheets, project set up data etc
  • Act as liaison between the technical consulting teams, finance and operations.

Data analytics

  • Assist COO/Associate Director Finance with delivery team KPI data management and reporting (Tiny+, Synergy).
  • Audit project management practices and identify appropriate corrective actions to COO/Associate Director Finance and/or national service leads as relevant.
  • Assist COO and Associate Director Finance achieve goals and team KPIs by acting as a business partner to national service and sector leads, providing insights to help improve performance and shape strategy.

Training

  • Conduct training sessions to educate professional services resources on systems, processes, KPI management.
  • Coach staff on policies, procedures and business systems in order to ensure the efficient, effective and compliant operations, in particular delivery / project management practices.

Continual improvement and change

  • Provide support to COO and Associate Director Finance to improve efficiency and service delivery.
  • Partner with COO and national service and sector leaders to identify and drive sales and delivery process improvements that keep up with changes in the organisation.
  • Ensure successful implementation of new programs through the professional services organisation.
  • Undertake special projects as assigned / agreed by the COO.

Who We Are Looking For

This position would be suitable for an individual who thrives in a fast-paced environment and is adept at building strong professional working relationships with internal and external stakeholders. The Office Manager will have the skills to work diligently support to a multi-faceted national business. The successful candidate will be able to demonstrate the following capabilities:

  • Experience in building and maintaining effective working relationships with coworkers, managers, and employees, working effectively in a team environment with shared responsibilities.
  • Exceptional strategic planning, problem solving and analytical skills. A “problem fixer”.
  • Strong organisational, time management and project tracking abilities. Ability to prioritise and multi task.
  • Must have incredible attention to detail.
  • Excellent interpersonal, communication and presentation skills.
  • Self starting.
  • Able to give and receive feedback and constructive criticism from a variety of channels.
  • Bachelor’s degree required, preferably in Business Management, Finance, or Statistics.
  • Demonstrated industry experience in a Professional Services operations or similar role.
  • Previous experience in a data-driven, analytics-centric role.
  • Strong Microsoft Excel skills including experience with pivot tables, analyzing and formatting data, use of filters, and creating charts and graphs.
  • Experience with system administration and knowledge of applications including PSA tools.
