Operations & Project Associate

Our office in Washington continues to grow and we are looking for an experienced Operations Assistant who can develop our organizational processes including financial and organizational management

The Candidate

You will be adaptable, self-motivated, and willing to take on new tasks at short notice. Strong communication and organization skills are essential, including the ability to work virtually with team members based at Itad’s parent office in the UK.   Your experience is likely to have been gained within a growing organization so you understand the need to quickly shape operational processes but understand and identify how they can scale and grow with the business

You will have a proven track record in a role that supports, develops and embeds internal organizational processes ranging from tracking business development portfolios, forecasting, assisting with management of organizational budgets, to assisting with the hiring and onboarding of personnel

  • Strong academic background, ideally with a Masters degree in a relevant sector
  • Experience with invoice preparation and management with contractors and consultants, and working with finance teams to oversee the account payable is essential
  • Experience assisting with logistics for travel, including booking flights, accommodations, getting visas, and other tasks related to international travel.
  • Experience setting up and facilitating corporate benefits programs (i.e. healthcare, 401K packages, etc.) preferred.
  • Experience working on USAID budgets and familiarity with USAID compliance issues preferred.
  • Strong written and verbal English language communication skills are essential along with the ability to effectively work in different time zones and cultures

The role

The primary focus of this role will be Operations (around 80%).  However, as a small, dynamic team, there will be a need to support Project delivery when required

Operations

Assist with the development of annual fiscal year forecasting budget based on the business development pipeline;

  • Oversee general internal organizational budget and track revenue;
  • Liaise with finance team to oversee the invoicing for consultants and subcontractors, as well as invoices to clients;
  • Assist with developing strategy and monthly/annual reporting documents and materials as needed;
  • Work with Itad’s parent company in the UK to help contribute to their established project management and organization processes as well as implement select processes at the USA office;
  • Assist with the hiring and onboarding of new personnel and consultants;
  • Help build the knowledge management system for Itad Inc. business development and project management files storage.
  • Ensure that appropriate project records are maintained to provide a sound basis for project tracking, reporting, and follow-up.
  • Assist with developing team agreements, subcontracts, and consultancy agreements as needed

Project Support

Support on the development of research reports and deliverables.

  • Assist with logistics and planning, including scheduling of meetings/calls/events, booking travel, international insurance,  etc.
  • Conduct due diligence on external consultants and new partners in accordance with corporate procedure.
  • Prepare new project descriptions for Itad’s website.
  • Liaise with relevant staff to ensure adherence to corporate safeguarding, privacy, business ethics, and other policies throughout project management processes.

Successful candidates will already have the right to live and work in the US

The salary for this role is between USD$60 – 70K depending on your experience.  We also offer 20 days paid holiday, 10 days paid sick leave and a company matched pension contribution of 5%.  We also offer an ICHRA to a fixed amount of up to $600 per month for certain qualifying health care expenses including premiums.
