Operations & Finance Manager

🇺🇸 Los Angeles, CA, US 📝 FULL-TIME 🎯 MANAGER SUPERVISOR

Title: Operations & Finance Manager

Reports to: Director of the Heart Department

Status: Salaried, Exempt

Position Summary:

The Operations & Finance Manager is a critical role at the Social Justice Learning Institute and joins the SJLI Heart Department (Operations, Finance, HR, and Education) to support keeping our accounts payable and receivable organized and streamlined while also holding down the office administration, people operations, and systems work for the organization. The Operations & Finance Manager will maintain financial routines, contract and agreements, operational processes, tools, and systems that enhance the effectiveness of our organization, align with our deep equity values, and outpaces the pace of change. Must be able to handle and resolve inquiries regarding billing problems and disputes, and also gather, organize, input and monitor all financial and operational products and procedures of the organization.

To ensure success the Operations & Financial Manager needs to be able to focus and stay up to date with their work duties while having proficient time-management and multitasking skills even with interruptions in a dynamic environment.

Responsibilities:

Finance

  • Lead the execution of annual internal audit & 990s Tax submission processes
  • Processes bills, invoices and checks in a timely fashion. (Account Payables)
  • Ensures accurate billing/invoicing of customers, vendors and donors. (Account Receivables)
  • Manage and reconcile all financial projects appropriately.
  • Manage fund accounting and fund allocations.
  • Support the annual development and maintaining of organization wide and team specific annual budgets.
  • Manages and executes payroll with leadership.
  • Develops, manages and maintains contracts and agreements and also supporting contract implementation.
  • Reports activities related to pertinent processes.
  • Maintains records, documentation, and confidentiality of information.
  • Analyzes all financial data, monitors all transactions and prepare appropriate monthly/quarterly reports upon request with leadership and support from the Executive Director to report to the Board of Directors.
  • Develops various accounting and/or budget reports for program areas and/or projects upon request.
  • Develops and maintains a database of records to ensure smooth transaction for all financial processes.
  • Works with the Development and Communications team to maintain an accounting of all revenue (grants, sponsorships, contracted dollars, etc.)
  • Other duties as assigned.

Operations

  • Liaison with Heart Department team to gather and share operational duties.
  • Support the management of office operations.
  • Maintain tidy and welcoming office spaces across SJLI sites.
  • Manage office supplies and storage for all SJLI sites.
  • Manage and maintain SJLI fleet vehicles (maintenance, fuel, wash, etc.).
  • Manage office use logistics for team and board meetings
  • Support Executive Director and Directors with travel as requested

Systems

  • Maintain IT systems, staff laptops and accessories, digital filing system
  • Manage time tracking system and analyze data monthly
  • Support HR system development and integration for staff
  • Manage organizational team calendars (team usage of office space, events, etc)
  • Maintain onboarding and offboarding of email accounts and equipment for new and exiting team members
  • Duties as assigned

Working Roles:

  • Create and conduct staff trainings operational and financial roles
  • Communicate with Heart Department Director on needs
  • Assist in evaluating area goals, objectives and outcomes and ensure they are being met.
  • Provide monthly area updates and reports.
  • Tracking work in Asana

Knowledge, skills and abilities:

  • Love of project management, organizational effectiveness, structure, systems, and/or operations highly desired

  • Some experience in non-profits a plus

  • Detail oriented self starter

  • Thrive in a collaborative, fast-paced, entrepreneurial environment

  • Energized by the mission and work of the Social Justice Learning Institute and its extraordinary network of leaders

  • Exceptional interpersonal, written, and oral communication skills

  • Able to demonstrate a commitment to the goals, guidelines, and principles of the Social Justice Learning Institute

  • Able to maintain confidentiality

  • Possess a valid CA Driver's License

  • Able to obtain a Live Scan clearance

  • Availability to occasionally work on some weeknights and weekends

  • Able to form strong relationships with a wide range of constituents, including, but not limited to team members, staff and leadership

  • Ability to collaborate in a team environment.

Qualifications:

  • Bachelor's degree or at least 3-5 years of financial administrative equivalent work experience
  • Advanced bookkeeping skills
  • Skills in SAP Concur, Blackbaud’s Financial Edge NXT, and Asana strongly preferred
  • Thorough knowledge of MS Office and database applications
  • Excellent organizational, time management and communication skills
  • Preferred Experience: Experience working in an financial administrative role within a non-profit

COMPENSATION AND BENEFITS:

This is a full-time, exempt position. The salary is $85,000.00 and commensurate with experience. The Social Justice Learning Institute offers a competitive benefits package that includes medical, dental, vision, 401(k) plan, employee life, short term and long term disability insurance coverage, paid time off, flexible work schedule including working from home 1 day a week, 13 paid holidays, and more.

COVID Workplace Safety Requirements
This position is currently hybrid with remote and in office activities, 5 days a month. Occasional requirements include interacting with employees, donors, vendors and others who may or may not be vaccinated or recently tested. You can wear personal protection equipment (PPE) at your discretion. SJLI adheres to the directives provided by the LA County Department of Public Health protocols. Currently, weekly COVID testing is offered to all SJLI team members, as part of our COVID-19 Prevention Plan.
