Office Manager
Position based in Madrid, Spain

The role
We are looking for an energetic Office Manager (20h/week). The job is for our Madrid Office, which currently has around 40 employees. We are looking for a well-rounded individual, who can manage a wide array of tasks and all aspects of the office administration.

🌟 More about the Role and Core Responsibilities
- Accounts payable - ensure that all invoices received by the company and related to general operations are properly approved, filed, paid on time, and forwarded to accounting.
- Responsible for assisting, and controlling the expense reports of all personnel in Spain, and coordinating Iberia’s payments - invoices
- Responsible for the follow-up with the office providers, namely office rental, insurance, parcel, telephone and internet, bank, courier, association memberships, etc.
- Food, stationery, flowers, and ordering office supplies
- Collect and send materials/ contracts and other documents to VEF clients
- Planning the arrival of a new employee, coordinating the new equipment, and handing over the welcome pack
- Ensure for all leaving employees, all equipment is collected
- Send, register, and receive IT devices between hubs, keep inventory
- Help IT department solve local issues
- Organize visits to a notary, apostille if necessary
- Assist marketing in the coordination of events, as catering orders, marketing agencies, etc
- Car management
- Support relocation of staff in the office, visa, registration to commune, registration into the Spanish system, follow-up on working rights: holidays, bank holidays.
We think you might be good for the role if:
- Native Spanish, fluent English
- At least 1 year of experience as Office Manager
- Excellent written and verbal communication skills
- Problem-solving skills and analytical abilities
- Strong organizational and time management skills, ability to prioritize
- Experience with Microsoft Office
- Good attention to detail
