TITLE: Leadership & Learning Program Specialist
RESPONSIBLE TO: Program Manager, Leadership and Learning
DIVISION/DEPT: Member Advancement/ Leadership & Learning
SUPERVISES: N/A
FLSA STATUS: Non-Exempt
Provide support to the Leadership and Learning team by overseeing program processes and logistics associated with program registration, program logistics, program evaluations, and other administration and project management activities.
Oversee multiple systems and processes to ensure continuity and efficiency of all leadership and learning activities in support of the Leadership and Learning Team.
SPECIFIC DUTIES[1]:
Leadership Development Support (75%)
o Logistical support of the Executive Development Program (EDP), Senior Leader Program (SLP), Designing Your Success (DYS) program, and other cohort programs as required.
o Update and maintain project timelines and operational guides.
o Work with site selection vendor to identify properties to host leadership programs.
o Work with hotels to provide detailed meeting specifications.
o Maintain and update hotel rooming lists.
o Create and update faculty program agreements.
o Oversee content availability on learning management system.
o Work with vendors to order supplies and other program materials.
o Create program certificates.
o Create application and registration pages in events system.
o Create registration reports (full list, dietary list, emergency contact list, etc.)
o Track registrations per week.
o Create and update marketing emails.
o Compile, verify and submit expense reports on behalf of program faculty.
o Update faculty and vendor spreadsheet to track the progress of invoices and task orders.
o Submit agreements through the contract management system.
o Compile, verify and submit invoices through the accounting system.
o Update the budget with actual expense numbers.
GII Professional Development Administrative Support (5%)
o Maintain the calendar of professional development programming.
o Maintain the RightPath database system.
o Manage the application process for the Mentor Program.
o Coordinate logistics for professional development programs either via zoom, hybrid, or in-person.
Leadership & Learning Administrative Support (15%)
o Process expense reports & check requests
o Manage inventory for leadership and learning.
o Occasional Team Meeting support/logistics
Other
o Assist in the operation of other Leadership and Learning initiatives as required.
o Other duties as assigned.
RELATIONSHIPS:
Internal: Frequent contact with all GII team members. Acts as “Ambassador” offering superb customer service and welcoming behaviors to all clients.
GII Members: Some contact with GII Board members as well as member CEOs and senior staff.
External: N/A

EXPERIENCE:
At least five years of progressively responsible program management support experience.
DECISION MAKING:
Solid and proactive judgment is vital in decisions related to activities and work of the Director, Leadership & Learning. Administrative decisions based on knowledge of GII’s organization, policies, and personnel.
SUPERVISION:
Latitude is given to determine approaches, procedures, and methodologies for accomplishing the work. Work may be reviewed to assure that it is conceptually sound and meets assignment objectives.
PHYSICAL EFFORT:
Light lifting (20 lbs. maximum) with frequent lifting and/or carrying objects weighing up to 10 lbs. Walking and standing are required only occasionally, involves sitting most of the time. Occasionally requires long hours at a computer terminal. Frequent travel is required.
EMOTIONAL EFFORT:
High stress, with frequent short deadlines requiring frequent overtime. Work environment usually hectic with continual periods of high stress.
