Your opportunity

We are currently seeking candidates for the position of Human Resources Assistant to join Dillon’s HR team. This exciting and dynamic opportunity includes exposure to participate in many key human resources functions in an administrative capacity.

This role is based at our Toronto office. We offer flexible work hours to help balance the competing demands of work and personal life.

You will have the opportunity to be part of a fast-paced, dynamic, and agile HR team and support various operational functions and special projects. The nature of the role is dynamic and the scope of responsibilities may change from time to time to support evolving business needs.  This role will report to the Manager, Human Resources.

Responsibilities

What your day may look like

Support HR activities (70%)

  • Assist with a variety of human resources administrative services including support and coordination to COEs of key HR functions: Talent Acquisition, Performance Management and Compensation, Employee Relations, Vendor & Contract management, Inclusion & Diversity, to name a few

  • Support the Dillon and SOAR HR business partners, Recruitment business partners and the HR coordinator team on various administrative activities as assigned

  • Participate in ongoing and new HR projects including the HRIS implementation which are critical to business success

  • Assist with the completion of Statistics Canada wage surveys as required

  • Maintain and update employee files

  • Social media management: manage HR social media with regular updates and activities

  • Media monitoring: gather and report on HR related matters in the news weekly

  • Content editing: proofread / edit / format PowerPoint presentations and word / excel documents; support development of content for HR projects / programs / training sessions as assigned

  • HR branding: cultivate positive employer brand by compiling, editing and posting photo and video content

  • Team events: assist with the coordination and organization of HR team events. Coordinate travel arrangements as required

  • Performs a variety of clerical and administrative duties in support of Human Resources

  • Business travel to the Toronto office and other Dillon offices upon request

Data reporting and management (27%)

  • Support tracking, reporting, and analyzing of HR data
  • Draft meeting minutes, follow up with action owners on action items, report and archive them as assigned
  • Support reviewing, verifying, and processing HR department invoices

Learning & Development (3%)

  • Commit to self-development and ongoing learning and professional development
  • Contribute to Dillon’s corporate profile through active participation in professional associations and committees

Qualifications

What you will need to succeed

  • Bachelor's degree from an accredited university or post-secondary education institution
  • Five (5) or more years of work experience in a corporate setting; experience providing administrative support to HR department is an asset

Experience

  • Strong proficiency in Microsoft Office and G-Suite; proficiency in social media, graphic design, image and video editing an asset
  • Strong analytical skills; ability to transform complex information and processes into easily digestible information for team members and stakeholders
  • Knowledge of multiple human resource disciplines or eagerness to learn
  • Highly efficient with effective organization skills, the ability to prioritize with a customer service focus
  • Takes initiative, uses independent judgment when required and has strong problem solving skills
  • Ability to organize, prioritize, plan work to meet time-based deliverables, and adapt to changing expectations
  • A proven track record in handling sensitive information in a confidential and professional manner
  • Strong attention to detail with a high level of accuracy
  • Comfortable working independently or as a team in a fast paced environment
  • Excellent verbal and written communications skills
