Department Description

Asylum Access Thailand’s (AAT) Finance and Operations Team has the overall responsibility of overseeing and managing financial monitoring and reporting with the maximum accountability. Our team works to ensure smooth operations, provision of effective financial management, and strong oversight for the AAT internal control system. We work closely in full compliance with Asylum Access Headquarters (AAHQ), donor rules and regulations, including national laws.

Position Description

Front desk receptionist is part of the finance and operations team and works to provide professional and confidential administrative support to the AAT office on day-to-day functioning. The front desk receptionist will interact with wide and diverse clients and visitors. The front desk receptionist will work proficiently in a fast-paced environment, and collaboratively with AAT staff and all teams.

Key Responsibilities

  • Answering telephone calls, taking messages to call logs, and referring to relevant units;
  • Collaborating with staff for visitors or clients’ schedule appointment;
  • Monitoring AAT reception incoming and outgoing emails and responding to general  inquiries and referring to relevant staff or units;
  • Greeting customers, clients, and other visitors;
  • Check visitors and clients in and direct or escort them to specific destinations;
  • Inform other staff of visitors and clients’ arrivals or cancellations;
  • Ability to remain calm in emergency situations;
  • Receiving letters, parcels, and other documents from messengers;
  • Ability to perform in a stressful situation and high volume environment;
  • Ability to handle heavy phone traffic while maintaining courteous and professional demeanor;
  • Maintains a friendly and positive attitude both in person and on the phone.

Reports to:  Asylum Access Thailand’s Senior Operations Coordinator

Minimum Qualifications

  • At least 1 year of receptionist or customer service experience;
  • Able to communicate in Thai and English proficiently both orally and in writing with co-workers and clients;
  • Thai citizen;
  • Good customer service skills;
  • Excellent interpersonal skills;
  • Essential telephone etiquette knowledge.

Preferred Qualifications:

  • Ability to type 30-40 Words Per Minute;

  • Knowledge of principles and practices of organization, planning, records management and general administration;

  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines;

  • Ability to multi-task as Receptionists are often required to manage many different tasks at one time including accepting calls, taking messages, and scheduling appointment;

  • Be a team-player and be able to work on their own initiative in a dynamic and challenging environment;

  • Maintain Integrity and confidentiality;

  • Commitment to the mission, vision and values of Asylum Access.

Hours and Location of Work

The Front Desk Receptionist is a full-time position based in our offices in Bangkok, Thailand. Candidates should be aware that some flexibility regarding working hours is required in order to take out-of-hours calls and meetings with international colleagues.

Salary and Benefits

Position comes with a competitive nonprofit salary, and a robust benefits package. The salary range is 25,000 - 30,000THB
