Job Responsibilities
End-user onboarding and offboarding (including research and learning, 30%)
- Create and delete related accounts with suitable permissions across all managed systems, including Microsoft 365 and other systems managed by the group, including vendors such as couriers, office supplies, etc.
- Ongoing administration of user authorization for systems managed by the group (changing user permissions after an account is created).
- Prepare, configure, and ship/retrieve laptops for end users.
- Assign door access codes for Winnipeg, Toronto, and Ottawa. Reprogram the door in Winnipeg once a year.
- Act as the account liaison for CSI Toronto to add and remove users from the co-working space.
- Liaise with human resources to keep an ongoing plan for employee departures and arrivals for laptop retrieval and deployment, including setting up and deletion of accounts with employee arrivals and departures.
- Deliver end-user onboarding and ad hoc training sessions from existing courses and documents.
- Create new end-user training courses based on staff requests and needs.
- Create/maintain Intranet training area, adding new courses, deleting outdated content, linking to vendor and online resources for training produced externally.
- In Winnipeg, deliver support for Microsoft Teams Room systems and other conference room technology as needs change.
- Provide user/affiliate support for password resets.
Security Monitoring (15%)
- Monitor end-user systems for connectivity to security systems.
- Act as initial responder to security notifications from security systems.
- Monitor message hygiene quarantine systems for potential false positives.
- Create, but not deploy, security and feature update policies. Policies are deployed after review and acceptance with systems change processes.
Intranet and Communications (25%)
- Implement IISD/IISD-ELA Intranet in SharePoint, including implementing the chosen Intranet governance model. This will be from implementation guidance created by the steering committee.
- Create end-user documentation for self-service features.
- Triage main telephone line.
- Triage shared, public email addresses.
- Monitor the DMARC monitoring system and complete initial investigations of external spoofing of IISD domains.
- Administer IISD digital signage systems and provide support where requested for IISD-ELA digital signage systems.
- Administer RFP systems on behalf of/along with the Chief Financial Officer.
Printer and Office Supply Administration (10%)
- Monitor printers/MFPs for proper operation and correct issues.
- Administer office supplies in the Winnipeg, Toronto, and Ottawa offices, including printing supplies, kitchen supplies, employee office supply requests, furniture, and amenity requests.
- Prepare documentation for end-user instructions for printing/scanning devices.
- Administer Joan meeting room devices organization-wide and Winnipeg meeting room physical layouts.
- Administer hygiene supplies for Canada offices.
Shipping and Receiving (10%)
- Act as primary coordinator of deliveries in the Winnipeg office.
- Receive and confirm deliveries to IISD and IISD-ELA.
- Identify dangerous goods and notify the receiver of same for planned delivery to end destination, most typically IISD Experimental Lakes Area field station. This includes verifying contents of suspected dangerous goods deliveries and segregating dangerous goods as appropriate per safety guidelines while in the Winnipeg office (3rd floor) or basement storage.
Records Management (10%)
- Administer Iron Mountain physical records storage for retrieval/storage requests.
- Administer Iron Mountain physical destruction orders with timely submission of destruction lists to content owners for approval and eventual confirmation of destruction of same by Iron Mountain.
- Research in IISD records management regulatory requirements for all aspects of IISD work including, but not limited to, employment standards in jurisdictions where IISD/IISD Europe have employees, health, and safety standards for dangerous goods in Manitoba and Ontario, CRA requirements for financial record keeping and corporation records management requirements from Corporations Canada. This research will be used to evaluate gaps in IISD/IISD Europe/IISD-ELA practices related to record keeping for regulatory requirements.
Required Skills and Qualifications
(A short, written exercise, done on your own schedule, using some of these technologies is the second stage of evaluation for this position)
- 1-year progressive experience in a Microsoft 365 environment in a user administrator role.
- Experience using Git, PowerShell, or other CLI operations.
- Demonstrated ability to produce effective and concise software system documentation.
- Demonstrated ability to read and follow instructions and apply the same for novel situations.
- Pass a criminal background check.
- Class 5 driver’s license. Driving abstract to be pulled.
- Have or be able to pass transportation of dangerous goods certification.
Nice to Have
- Azure DevOps
- Speaks/writes French or Spanish
- Microsoft Endpoint Manager (intune) experience
- Administration of Google Workspace or other SAAS products
- Experience creating end user training
Location: Winnipeg, in-office role 5 days a week. No exceptions.
