Administration Volunteer/Intern
The Administration Intern (AI) is responsible for providing administration and logistic support. The role is designed to be accessible for individuals with high school or college level education who are interested in receiving on the job training and gain actual working experience with an international NGO. The role requires a full-time, committed and highly motivated individual.
KEY DUTIES
ADMINISTRATION
- Supporting on purchasing procedures that are followed and that documentation is in order.
- Supporting office including running documents, purchasing supplies, delivering letters and helping the office runs smoothly.
- Collecting documents from the government partner’s office.
- Sending documents, Invitation etc...
- Help checking flight and hotels availability
- Prepare and help booking the vehicle for the project team
- Scan, print and copy the related documents as required
- Filing the office or the project documents
- Arranging transportation for the project team
- Check the office supplies and stationery’s stock.
- Helping with other necessary administration work as require.
- Assisting in other work assigned by the Administration officer.
PROCURMENT
- To assist obtaining quotes and order office supplies such as stationery and general office equipment within budget guidelines, adhering to the national purchasing policy by sourcing the best suppliers in terms of price, quality and service.
- To assist with project purchases as required.
- The Intern will also work closely with the Administration Team
- It is anticipated the intern will liaise with other departments at ChildFund in Laos including Finance, HRA, and Communications
- The Intern holds no management responsibility
QUALIFICATIONS & EXPERIENCE
- High school or College graduate in Business Administration/or related area or working towards the completion of study;
- Demonstrated ability to undertake detailed activities with a high level of accuracy
- Capacity to work independently;
- Ability to work effective
- Ability to handle multi-tasking at the same time
- Experience of organising events, purchasing goods and completing administrative tasks;
- Accountable and responsible
- Some Spoken English and fluency in Laos
- Discrete and respectful of confidentiality
DESIRABLE
- Able to travel to the field office and remote area
- Previous experience in a medium or large sized NGO
- Basic to intermediate command of English language
- Able to type in Lao and English
- Possess IT background (Emails, Microsoft Office Outlook, Words, Excel software,
OneDrive, Microsoft Team)
Desirable:
- Knowledge of Lao.
- Demonstrated understanding of rights-based approaches to development.
Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy.
Location: ChildFund in Laos, Saphanthong Neua Village, House No. 598, Unit 26, Sisattanak District, Vientiane, Laos
Employment: Full-time, one-year employment agreement, with option to extend upon mutual agreement
Reports to: Senior Admin Officer
Other Information: Must have criminal background check before joining the organisation
