Accounts Payable Specialist

The Program

Mercy Corps alleviates poverty, suffering, and oppression and works to build secure, productive, and just communities in over 40 countries worldwide. The Corporate Accounting, Payroll, Timekeeping, and Travel Departments perform vital functions for Mercy Corps globally. These groups interact with all other departmental functions and separate entities of the Agency, providing meaningful financial information to employees, management, donors, and regulators; processing global pay and vendor payments; and enabling team member travel. Corporate Accounting includes all consolidated accounting, headquarters accounts payable, annual global external audits, and global consolidated financial reporting. The Corporate Accounting Department works closely with the Treasury and International Finance Departments in consolidating field information to provide monthly consolidation of over 40 country ledgers.

The Position

The Accounts Payable Specialist is responsible for verifying payment approval, processing payments in a timely manner, and providing support to the Corporate Finance Department. Also, duties include reconciliations, account review & analysis, financial reporting, year-end audit preparation support, banking, and other financial activities.

Essential Responsibilities

  • Financially review payment requests and employee expense reports ensuring compliance with coding policies and internal control requirements.
  • Enter all invoices and expenses into the accounts payable system.
  • Prepare and process all types of payments.
  • Maintain vendor files.
  • Manage of American Express Corporate Account Reconciliation system.
  • Database and systems management for various processes, including 1099s, vendors, etc.
  • Prepare and process monthly corporate credit card programs.
  • Reconciliation of purchase card statements, directly billed hotels, visa applications, and miscellaneous accounts payable suspense accounts
  • Manage facilities expenses and vendor processes.
  • Manage sub-award payments made via ACH.
  • Prepare basic general ledger journal entries.
  • Prepare and process IRS Forms 1099.
  • Maintain and update procedures specific to Accounts Payable.
  • Other duties as assigned within the scope of the Corporate Finance Function.

Minimum Qualifications & Transferable Skills

  • Associate’s degree in finance/accounting or equivalent experience is preferred
  • 3+ years of experience in a finance-related role are required
  • Knowledge of accounting systems and processes.
  • Demonstrated capability of working collaboratively with others.
  • Effective written and verbal communication, multi-tasking, organizational, and prioritization skills.
  • Strong Excel and word processing skills, including Microsoft Office and Google Docs.
  • Experience in multinational organizations, especially non-profits, is a plus.

Success Factors

The successful Accounts Payable Specialist will be able to work independently and employ effective time management skills, manage priorities, and work effectively with a wide variety of individuals, including international staff. Additionally, he/she will have strong analytical skills, attention to detail, and be able to communicate financial information in a succinct, organized manner. The most successful Mercy Corps team members have a positive approach, a strong commitment to teamwork and personal accountability, and the ability to be flexible.

Living Conditions / Environmental Conditions

This position is located at our US Headquarters based in Portland, OR, or remote. Availability during business hours (PST) is required. There is no relocation allowance available for this position. Mercy Corps team members represent the agency both during and outside work hours when deployed in a field posting or on a visit/short-term assignment to a field posting. Team members are expected to conduct themselves professionally and respect local laws, customs, and MC's policies, procedures, and values at all times and in all in-country venues.
